Adding attachment to e-mails can be a powerful and efficient way to share info with the parents or leaders. There are 3 different ways to add attachments to e-mails:
- Dynamic PDFs
- Static PDFs
- Directly in the mail template
Dynamic PDFs
Dynamic PDFs are generated with specific information about the item. The most commom examples are fiscal proof, invoice and participation proof.
To set this up you first need to create a new item in the PDF template app, then link to this PDF template in the mail templates.
Static PDFs
Often you want to include information about a specific theme, location or activity. In this case you can attach the information directly to the Podio item and update the field 'Static pdfs'. The syntax is to use the app ID of the related app where the files are stored, followed by a part of the filename to be matched (this is case sensitive!)
- Example: You want to add a pdf file to each of your locations with specific information about the location. You want to include this pdf file to the mail with information about the activity.
- Go to the location app and add the different pdf files to each location
- Naming convention: infolocatie_brugge.pdf, infolocatie_gent.pdf, etc.
- Update the static pdf field in the mail template:
- App ID of the location app = 14532492
- Part of the filename = infolocatie
- Go to the location app and add the different pdf files to each location
Directly in the mail template
You can also attach any document directly to the mail template. You can add any type of file here (images, pdf, excel, etc.).
